Why PayAdjust

Recognised, not just “compatible”

HMRC does not approve or endorse payroll software, but it does test it. Products that pass HMRC’s Real Time Information testing are listed as recognised payroll software on GOV.UK. PayAdjust is on that list. The test checks that the software produces valid submissions, handles the data items HMRC needs, and talks to the Government Gateway correctly.

Recognition is the floor. What matters day to day is what filing feels like: in PayAdjust, approving a pay run and filing the FPS is one click, HMRC’s response arrives in seconds, rejections are translated into what to fix, and the HMRC mark and correlation ID are kept on the run for as long as you need them.

On HMRC’s recognised list

PayAdjust passed HMRC’s RTI recognition testing in October 2026. Read what recognition does and does not mean.

One-click FPS

The FPS is generated when you approve a run and sent to HMRC directly. PayAdjust polls for the response and shows acceptance, usually within a few seconds.

Every EPS scenario

Employment Allowance claims, no-payment months, periods of inactivity, statutory pay recovery and CIS deductions suffered are all filed from the same screen.

Rejections explained

If HMRC rejects a submission, PayAdjust tells you why in plain English, such as an NI number mismatch or an authentication problem, and what to change.

What you need

What HMRC expects from your payroll software

Real Time Information is a set of obligations with deadlines attached. This is what they are and how PayAdjust meets each one.

  • 01

An FPS on or before every payday

Generated automatically from the approved run and filed in one click. Late filing is the most common RTI penalty; PayAdjust’s calendar shows pay days and deadlines side by side.

  • 02

An EPS by the 19th when something changes

No-payment months, Employment Allowance, statutory recovery, periods of inactivity and CIS deductions suffered, each with duplicate protection so you cannot file the same claim twice.

  • 03

Correct data items on every employee

Compliance checks flag missing NI numbers, dates of birth and addresses before you file. Starter declarations, leaver dates and director indicators are carried on the FPS.

  • 04

    Scottish and Welsh tax codes

S and C prefixes are supported with their own bands. Emergency codes, K codes and flat-rate codes are all handled.

  • 05

    Year-end without a separate return

Final FPS indicators, P60s for every employee and tax year summaries. There is no annual return to file; RTI replaced it.

  • 06

    Proof that it was filed

The HMRC mark, correlation ID, timestamp and user are stored on every accepted submission and written to the audit log.

  • 07

    Paying HMRC what you owe

The Taxes tab shows PAYE liability by tax month, less Employment Allowance and statutory recovery, with the 22nd-of-the-month deadline and a place to record the payment.

How it works

Four steps, once a month

  1. Step 01

    Add your team

Invite employees by email. They fill in their own address, NI number and bank details, so you never chase a form.

  2. Step 02

    Run payroll

Create the month and every payslip is calculated: PAYE, National Insurance, pension, student loans and statutory pay.

  3. Step 03

    Let employees check it

Release payslips for preview. Employees see their pay before payday and can adjust pension contributions with live tax impact.

  4. Step 04

    Approve and file

Approve the run, file the FPS with HMRC in one click, download the BACS file and pension schedule. Done until next month.

The guide

What “HMRC recognised” actually means

HMRC maintains a public list of payroll software that has passed its recognition testing for PAYE Real Time Information. To get on it, a product submits a series of test FPS and EPS files to HMRC’s test service and demonstrates that it handles the full set of data items HMRC specifies for the tax year. Recognition is renewed as the specification changes each year.

Recognition does not mean HMRC has approved the software’s calculations, its security or its support. You will sometimes see “HMRC approved payroll software”; that is not a status HMRC grants. Recognised is the only term that means anything, and the list on GOV.UK is the only place to check it. Our recognition announcement goes into what was tested.

What gets filed, and when

  • Full Payment Submission (FPS). Every time you pay employees, on or before the payday. It carries each employee’s pay, tax, NI and year-to-date figures, plus starter and leaver information.
  • Employer Payment Summary (EPS). By the 19th of the following tax month, when you need to tell HMRC something an FPS cannot: that nobody was paid, that you are claiming Employment Allowance, that you are recovering statutory pay, or that the scheme is inactive.
  • Final submission for the year. The last FPS or EPS of the tax year carries a final submission indicator. P60s go to employees by 31 May.
  • Payment to HMRC. Electronic payments are due by the 22nd of the month following the tax month. PayAdjust shows the amount after allowances and recoveries.

What happens when HMRC rejects a submission

Rejections are normal and almost always fixable. The common causes are an NI number that does not match HMRC’s record, a Government Gateway credential problem, or a data item that fails validation. PayAdjust maps HMRC’s error codes to plain-English explanations and points you at the field to correct. Once fixed, you resubmit from the same screen. Nothing is filed twice by accident: the duplicate guard blocks a second accepted submission for the same period.

Correcting a mistake after an FPS has gone

Overpaid someone? Wrong tax code? If the FPS has already been accepted, the correction goes on the next FPS with corrected year-to-date figures, or on an EPS where that is the right route. Our guide to correcting payroll mistakes after an FPS walks through the common cases step by step.

If you would rather file another way

Direct filing is the default, but you can also download the FPS or EPS XML and submit it through other software or have your accountant file it. Mark the submission as filed manually and PayAdjust keeps the record. HMRC’s own Basic PAYE Tools cannot import a file, so if you use that you would be re-keying figures by hand.
