Why PayAdjust

Client payroll that runs itself between your visits

Payroll software for accountants usually means bureau tooling: batch runs, bulk reports, and employees who never see the system. PayAdjust is built the other way round. Each client is an organisation with its own employees, settings and HMRC references. You switch between them from one login, run the month, file as their agent, and leave the client’s staff with a portal that answers the questions you used to.

That changes where your time goes. Employees enter and maintain their own addresses, NI numbers and bank details. They download their own P60s. They model a pension change with live tax impact instead of asking you to. What is left for you is the part that needs a professional: checking the run, filing, and advising.

One login, every client

Switch between client organisations from the sidebar. Each has its own dashboard, settings, HMRC credentials and audit log, fully isolated from the others.

File as an authorised agent

Set each client’s “who files” to HMRC-authorised tax agent, enter your Agent ID and practice details, and they appear on every RTI submission.

Self-service cuts the inbox

Payslips, P60s, P45s, holiday balances and pension changes live in the employee portal. An AI advisor handles the “why is my tax different this month” questions.

An audit trail for every change

Every edit, approval and submission is logged with who did it and when. When a client asks what happened, the answer is already written down.

What you need

What an accountant needs from client payroll software

The list is different from an employer’s. You need separation between clients, a clean way to file on their behalf, and as little data entry as possible.

  • 01

    Strict separation between clients

Every organisation is isolated at the database level with its own members and roles. A client owner sees only their own business; you see each one you have been added to.

  • 02

    Filing under the right identity

Each client chooses whether the company, a bureau or an authorised agent files. Agent details, including your HMRC Agent ID, are included in the FPS so HMRC contacts the right party.

  • 03

Clients who can see without breaking anything

Give the client owner access to approve runs and see reports, while you keep the settings. Or run it entirely yourself. Roles are per organisation.

  • 04

Less typing of other people’s details

Employees are invited by email and complete their own records. Compliance checks flag anyone missing an NI number, date of birth or address before the FPS goes.

  • 05

    Year-end without the scramble

Bulk P60 generation and download per client, P45s produced when leavers are recorded, and tax year summaries for your working papers.

  • 06

Exports that drop into your workflow

Payroll summary, payment summary and pension schedule as CSV every month. BACS files in Standard 18 if the client banks that way.

How it works

Four steps, once a month

  1. Step 01

    Create the client organisation

Enter the client’s PAYE and Accounts Office references, pension scheme and default rates. Set filing to “HMRC-authorised tax agent” with your Agent ID.

  2. Step 02

Invite the client and their staff

Add the business owner as an owner or admin. Invite employees by email; they complete their own personal, bank and HMRC details.

  3. Step 03

    Run and review each month

Payslips are calculated when you create the period. Review, add bonuses or overtime, optionally release a preview to employees, and approve.

  4. Step 04

    File and hand over

File the FPS and any EPS in one click, download the BACS file and pension schedule, and move to the next client from the switcher.

The guide

How accountants and bookkeepers use PayAdjust

Each client is an organisation. You create it, or the client creates it and adds you as an admin. From then on you switch between clients from the sidebar without signing out. Each organisation holds its own employees, HMRC references, Government Gateway credentials, pension scheme and audit log. Nothing leaks between them, and a client who logs in sees only their own business.

Within a client, roles decide who can do what. A common arrangement is the business owner as owner, you as admin, and employees as employees. The owner can approve a pay run and look at reports; you handle settings, corrections and filing. If the client would rather not touch it at all, you can run everything.

Filing RTI as an HMRC-authorised agent

PayAdjust asks each organisation who files its payroll: the company itself, a payroll service using the company’s own Government Gateway login, or an HMRC-authorised tax agent. If you have a 64-8 in place and an Agent ID, choose the agent option and enter your practice name, address and contact details. They are included on every FPS and EPS for that client so HMRC directs queries to you. Our guide to what HMRC recognition means covers what is and is not checked when a submission is accepted.

Fewer client queries, by design

The expensive part of running client payroll is rarely the calculation; it is the questions afterwards. PayAdjust releases payslips to employees for preview before payday, with a plain breakdown of tax, NI and pension. An AI advisor with the employee’s real salary and tax code answers the “why did my take-home change” questions. Employees download their own P60s in April. The effect for a practice is a quieter inbox in the first week of every month.

Correcting mistakes after filing

Corrections are handled the way HMRC expects: a later FPS with corrected year-to-date figures, or an EPS where that is the right instrument. Our walkthrough of how to correct a payroll mistake after an FPS is written for exactly the conversation you have with a client who has just noticed an overpayment.

What PayAdjust does not do for bureaus yet

There is no cross-client dashboard, no bulk “run all clients” button, and no CIS beyond reporting deductions suffered. Pay periods are monthly. Exports are CSV rather than a direct journal post into accounting software. If you run a high-volume bureau with weekly-paid clients, dedicated bureau software will serve you better today. If you look after a dozen or two monthly-paid small businesses and want their employees to stop emailing you, PayAdjust is built for that.
