What actually matters when choosing
Every serious UK payroll product handles the legal baseline: PAYE and NI calculations, RTI submissions to HMRC, pension auto-enrolment, and statutory documents. Assume all of the products below do those. The real differences are:
- Who runs it — is it built for you, or for your accountant?
- What employees get — a PDF by email, or a real self-service portal?
- Pricing shape — flat, per-employee, or an add-on to accounting software you may not want?
- Where it lives — cloud, or desktop software on one person's PC?
The contenders
Sage Payroll
The incumbent. Sage has been doing UK payroll for decades, accountants know it inside out, and if your accountant runs your payroll there's a fair chance it's on Sage already. Cloud-based, per-employee monthly pricing (from roughly £10/month plus a per-employee amount). The trade-off is that it can feel like enterprise software scaled down — capable, but rarely described as pleasant — and employee self-service is more of an add-on than a centrepiece.
Xero Payroll
An add-on to Xero's accounting platform rather than a standalone product. If your books are already on Xero, the integration is genuinely seamless — payroll journals post themselves and reconciliation is trivial. Priced as a monthly add-on scaling with employee count. If you're not a Xero accounting customer, buying the whole platform to get payroll rarely makes sense.
QuickBooks Payroll
The same story as Xero with different branding: solid payroll bolted onto an accounting suite, best when you're already in the ecosystem. Per-employee add-on pricing on top of the QuickBooks subscription.
BrightPay
A favourite among accountants and payroll bureaus, now fully cloud-based, priced annually by employer size. Deep functionality — CIS, expenses and benefits, bureau features — and very good value for the depth. The interface is built for people who run payroll all day; a first-time employer will find it thorough rather than guided.
Moneysoft Payroll Manager
Desktop software with a flat annual licence — no per-employee pricing at all, which makes it one of the cheapest options going for the features. The catch is the model: it lives on one PC, employees get PDF payslips rather than a portal, and it's Windows-only. For a sole director or a micro business with an owner who likes desktop software, it's hard to beat on price. For a team, it shows its age.
PayFit
The most polished of the newer generation, aimed a notch up-market: monthly per-company pricing that starts higher than anything else on this list, with onboarding support and HR features to match. If you have 25+ employees and budget for a payroll-plus-HR platform, it belongs on your shortlist; below ~10 employees the pricing is hard to justify.

- Your accountant runs payroll? Let them choose — it'll probably be Sage or BrightPay, and that's fine.
- Already on Xero or QuickBooks for accounting? Try their payroll add-on first; the integration is worth a lot.
- Sole director, tightest possible budget, happy with desktop? Moneysoft.
